Our Privacy Statement

By applying for membership with the Ontario Métis Family records Center (OMFRC), you have entrusted us with your personal information, and give consent for the use of it as described in this Privacy Policy.  We are committed to protecting this information. We need to collect a certain amount of personal information from you in order to process your application, keep in touch with you, and fulfill our mandate and our responsibilities to you as a member of the OMFRC. You in turn have a right to expect us to treat your personal information with the care and respect it deserves.  We hereby pledge to use, maintain, and protect your personal information responsibly and in accordance with the highest privacy principles and standards, as enshrined in Canadian federal and provincial privacy laws.  

 Privacy Policy

The Ontario Métis Family Records Center (OMFRC) only collects personal information in two ways:  When you give it to us voluntarily, for example, by filling out a form or survey, or over the telephone, or, when we research your family history on your behalf.

The OMFRC does not sell or lend your information to any third-party marketing group. 

We don’t share your personal information with anyone except to comply with the law, develop our products, protect our rights or to process your application. 

By applying for membership, you consent to our sharing your family history information with our researchers and data entry personnel.

We may gather information about traffic on our web site so that we can continue to develop the site to better suit your needs. This does not include personal information about you, but includes information about your visit on the site such as:

o   The name of your Internet service provider, its IP address and the name of your service provider's service.

o   The length of each visit.

o   The number of requests per visit.

o   Your type of operating system (Windows, MacIntosh, Unix, etc.)

o   Your browser type (Netscape, Internet Explorer, etc.)

You, as a Canadian are protected by two federal privacy laws, the Privacy Act and the Personal Information Protection and Electronic Documents Act (PIPEDA). PIPEDA is based on the Canadian Standards Association's Model Code for the Protection of Personal Information, which is incorporated into the legislation. Organizations in Quebec are subject to the Quebec private sector privacy law. Oversight of the law is in the hands of the Commission d'accès à l'information.

 Personal Information

“Personal information” is personally identifiable information such as your name, residential address and email address and includes information about any services or products you may subscribe for or acquire from the OMFRC, credit card information and billing records. Personal Information is collected by the OMFRC only when you, as a visitor to our Web sites, specifically and knowingly choose to provide it to us.

 Personal Data Collection and Uses

Below are listed the personal data we collect on your application for membership, and the reasons for collecting it.

Name – If you are applying for membership in the OMFRC we need to know your name.  Your full name is required for the genealogical search.

Mailing address -This is needed so that we can send you your membership card and other correspondence.


Phone numbers - These are needed so that we can contact you for membership renewals, etc.

Email address - This is needed for our newsletter and other correspondence.

Not all three items above are essential, as long as we can contact

you in some manner. 


Date of Birth, Gender and Family history  - All of these are required in order for us to process your application for membership.  We are a genealogical organization and a membership requirement is that you have aboriginal ancestry.  We have to be able to prove that, either from the information you submit and/or from our own records.

Occupation – Occasionally we will receive information directly relating to your occupation.  Knowing your occupation, we are able to share that information with you.  We also might contact you and ask you to volunteer if we need someone of your background and experience.  You are not required to provide your occupation if you don’t want to.

Photo -       Your membership card requires a photo of you.

Known aboriginal ancestry and other family history - Providing this can save us a great deal of time.  It isn’t a requirement if you don’t have that information.   We will also ask you for other family history.  This is used to increase the information in our genealogical database, and that my aid us in our endeavours to identify aboriginal ancestry for other applicants.  Our long range goal is to document the family histories of every family in Canada, from their arrival in Canada, to the present day.

 Protecting Your Personal Information

None of your personal information is shared with anyone outside of the OMFRC.  Some of it is entered into our membership database and/or our genealogical database.  Access to both databases is strictly controlled, and limited.  We are aware of the dangers of identity theft and guard your information with the same care that we guard our own.

You may withdraw your consent to any further collection, use or disclosure of personal information which you may have provided at any time by giving the OMFRC prior reasonable notice.

 Credit Card Information

Credit card information is also rigidly controlled.  None of this information is stored electronically.

 Non-Personal Information

2.1 Non-Personal Information. When you browse through our web sites, you do so anonymously. The OMFRC does not collect personal information about you unless you voluntarily provide it to us by interacting with our sites or submitting an inquiry to us. Our servers automatically log information about visits to our web sites in the normal course of establishing and maintaining web connections. The server logs record statistical information, such as visitors’ IP addresses, time and duration of visit, and web sites visited. We collect this information so that we may continuously improve our web site content. These statistics are reported in aggregate form only. We do not link server log information to any other data in a way that would enable us to identify individual visitors.

 External Data Storage Sites

We may store your data (NOT financial data) on servers provided by third party hosting vendors with whom we have contracted.

Your privacy responsibilities

To help protect your privacy, be sure:

  • not to share your user ID or password with anyone else;
  • to log off the OMFRC Web site when you are finished;
  • to take customary precautions to guard against “malware” (viruses, Trojan horses, bots, etc.), for example by installing and updating suitable anti-virus software.

·        Please note that this privacy policy does not govern the collection and use of information by companies that the OMFRC does not control, nor by individuals not employed or managed by the OMFRC. If you visit a Web site that we mention or link to, be sure to review its privacy policy before providing the site with information.


Information Collected from Children

Children are welcome to use our websites.  In fact we welcome them.  To apply for membership, however, this must be done on their behalf by a parent or guardian. The OMFRC does not knowingly collect information from anyone under the age of sixteen.


Cookies” are a feature of every Internet software browser and are used to collect information anonymously and to track user patterns on a web site. A cookie is a small text file that is placed on the hard disk drive of your computer by a web site. Cookies contain a unique identification number that identifies your browser, but not the visitor, to our computers each time you visit our web sites. Cookies tell us which pages of our web sites are visited and by how many people. The use of cookies is an industry standard and many major browsers are initially set up to accept them. You can reset your browser to either refuse to accept all cookies or to notify you when you have received a cookie. However, if you refuse to accept cookies, you may not be able to use some of the features available on OMFRC web sites. Cookies are used to establish a user session and allow our computers to correctly provide visitors to our web site with the appropriate frames and content. Our cookies will not follow your travels on the World Wide Web.



Our web sites have industry standard security measures in place to protect the loss, misuse and alteration of the information under our control. While there is no such thing as “perfect security” on the Internet, the OMFRC will take all reasonable steps to ensure the safety of your personal information.

 Our web sites may contain links to other web sites. The OMFRC is not responsible for the privacy practices or the content of such other web sites and expressly disclaims all liability associated with your use of and the content of such other sites.



Access to Your Personal Information


You have the right to access your personal information under the control of the OMFRC. Upon request in writing to the Chief Privacy Officer at the address listed below, you will be informed of the existence, use, and disclosure of your personal information and you will be given access to that information. Except in limited circumstances, as specifically provided by applicable privacy legislation, the OMFRC can tell you whether we hold personal information about you. The OMFRC will only refuse access to information about you in those circumstances permitted or required by applicable privacy legislation. If the OMFRC refuses access to you, reasons for such refusal will be provided. Exceptions may include information that contains references to other individuals or information that cannot be disclosed for legal or security reasons.  Personal information does not include family history, except for that portion originally provided by you.


Blog Privacy Policy

We do not share personal information with third-parties nor do we store information we collect about your visit to this blog for use other than to analyze content performance through the use of cookies, which you can turn off at any time by modifying your Internet browser's settings. We are not responsible for the republishing of the content found on this blog on other web sites or media without our permission. This privacy policy is subject to change without notice.


Notice to European Union Users and Others Outside of Canada

The OMFRC‘s operations are located primarily in Canada and the United States. If you provide information to us, the information will be transferred out of the European Union (EU) or other country to Canada. We reserve the right to change this privacy policy as we deem necessary or appropriate because of legal compliance requirements or changes in our business practices. When changes are made to this privacy policy, those changes will be noted on our websites with the date of each change.
